Procurement & Project Operations Manager (HVAC / Industrial) – Baton Rouge, LA
Position Summary
We are seeking a highly organized and detail-driven Procurement & Project Operations Manager to lead and support procurement activities across HVAC and industrial projects. This role serves as a central hub between vendors, clients, logistics, and internal operations—ensuring materials are sourced, tracked, received, and delivered in alignment with project timelines.
This position combines procurement, project management, and operational execution. The ideal candidate understands the full lifecycle—from sourcing and expediting to warehouse staging and final delivery—and is comfortable working in both an office and warehouse environment.
This role plays a critical part in managing complex procurement workflows, including global sourcing, freight coordination, and compliance documentation.
Key Responsibilities
Procurement & Sourcing
- Source HVAC equipment, industrial materials, and specialty items (including hard-to-find or long-lead components)
- Manage vendor relationships, pricing negotiations, and purchase order execution
- Coordinate with manufacturers and suppliers domestically and internationally
- Support accelerated procurement efforts to meet urgent project timelines
- Track procurement lifecycle from RFQ through delivery
Project Management & Coordination
- Act as project manager for assigned procurement packages and client scopes
- Track schedules, milestones, and delivery timelines to ensure on-time execution
- Coordinate across procurement, warehouse, and logistics teams
- Maintain real-time visibility of material status, including what is ordered, in transit, received, and staged
- Identify risks (delays, shortages, damages) and proactively resolve issues
Logistics, Freight & Compliance
- Coordinate domestic and international freight (air, ocean, ground)
- Manage freight forwarding, customs clearance, and trade compliance documentation
- Ensure all shipments meet regulatory requirements and documentation standards
- Track shipments and provide status updates to internal teams and clients
- Work with brokers, carriers, and logistics providers to ensure smooth delivery
Warehouse Integration & Material Handling
- Assist warehouse team with receiving, inspection, and validation of incoming materials
- Verify materials against submittals, specifications, and purchase documentation
- Support staging and organization of project materials based on schedule
- Assist with shipping, loading, and delivery coordination as needed
- Ensure proper handling of high-value equipment to prevent damage
Documentation & Quality Control
- Manage submittals, packing lists, bills of lading, invoices, and compliance documentation
- Ensure all materials align with project specifications and approved submittals
- Maintain accurate and organized project documentation and reporting
- Track and document discrepancies, damages, or shortages
- Support invoicing, change orders, and procurement reporting
Client & Vendor Interaction
- Serve as a primary point of contact for clients on procurement-related matters
- Provide regular updates on procurement status, deliveries, and issues
- Coordinate with overseas clients, vendors, and manufacturers
- Maintain professional communication and strong relationship management
Required Skills & Qualifications
- 3–7+ years of experience in procurement, project management, or supply chain operations
- Experience with HVAC equipment, construction materials, or industrial procurement
- Strong understanding of procurement lifecycle, vendor management, and sourcing strategies
- Experience coordinating logistics, freight, and international shipments
- Familiarity with customs documentation and trade compliance requirements
- Ability to read and interpret submittals, specifications, and technical documents
- Strong organizational, communication, and problem-solving skills
- Ability to manage multiple projects and deadlines simultaneously
- Proficiency in Excel and general data/document management
Preferred Qualifications
- Experience in HVAC facility management programs or equipment lifecycle support
- Background in freight forwarding or international logistics
- Experience working with project staging, warehouse coordination, or material handling
- Familiarity with WMS, ERP, or procurement tracking systems
- OSHA or safety training
